Terms & Conditions
The 3R Retreat | Sept 28 – Oct 5, 2026 | Comporta, Portugal
By submitting your deposit and registering for The 3R Retreat ("The Retreat"), you agree to the following terms and conditions.
1. Payment Schedule
To secure your reservation, a fully refundable deposit of $1,500 CAD is required.
- Risk-Free Period: Your $1,500 deposit is 100% fully refundable for any reason until May 31, 2026.
- Final Balance: The remaining balance of the retreat cost is due in full no later than July 31, 2026.
- If the final payment is not received by the due date, The Valens Institute reserves the right to cancel your reservation and retain any non-refundable funds.
2. Cancellation & Refund Policy
Because The Retreat requires the upfront booking of private luxury estates, private yachts, and independent contractors, our cancellation policy transitions strictly over time to protect the group's fixed costs.
- Cancel on or before May 31, 2026: 100% full refund (Your entire $1,500 deposit is returned).
- Cancel between June 1 and July 31, 2026: The $1,500 deposit becomes non-refundable. (If you paid your full balance early, that balance minus the deposit will be refunded).
- Cancel after July 31, 2026: No refunds will be issued.
*Note: If you must cancel after the refund window has closed, you may transfer your spot to another qualified healthcare professional, provided they are approved by The Valens Institute and their balance is paid in full.*
3. Mandatory Travel Insurance
Comprehensive Travel Insurance is mandatory for all attendees. Your insurance must cover trip cancellation, trip interruption, and international medical emergencies. Because our cancellation policy is strict after July 31, trip cancellation insurance protects your investment in the event you become ill, have a family emergency, or encounter unforeseen professional conflicts. The Valens Institute is not responsible for refunding payments due to personal emergencies or travel disruptions.
4. CME & Tax Deductibility
The Valens Institute will provide a formalized invoice and a certificate of completion for the accredited Executive Coaching/CME modules completed during The Retreat. While this program is structured to qualify as a professional development and corporate business expense, The Valens Institute does not provide formal tax or accounting advice. It is the responsibility of the attendee and their Professional Corporation’s accountant to ensure compliance with local tax regulations regarding deductibility.
5. Itinerary & Excursion Modifications
The Valens Institute has meticulously planned the itinerary; however, we reserve the right to make modifications. Changes to specific restaurants, chefs, or excursions may occur due to weather (e.g., high winds affecting the yacht charter), local availability, or circumstances beyond our control. In the event an activity must be cancelled, The Valens Institute will provide a substitution of equal or greater luxury and value.
6. Health, Liability & Assumption of Risk
By attending The Retreat, you acknowledge that you are voluntarily participating in activities (including but not limited to yacht charters, swimming, and travel in foreign countries) that carry inherent risks. The Valens Institute, its founders, and its contractors are not liable for any personal injury, illness, property damage, or loss sustained during The Retreat. Attendees are responsible for their own health, safety, and personal belongings at all times.
7. Code of Conduct
The 3R Retreat is an exclusive sanctuary designed for peer-to-peer relaxation, networking, and renewal. We expect all attendees to treat staff, private chefs, drivers, and fellow guests with the utmost respect. The Valens Institute reserves the right to remove any attendee from the estate without a refund if their behaviour is deemed highly disruptive, unsafe, or inappropriate.
By remitting your deposit via Stripe or Wire Transfer, you formally acknowledge and agree to these Terms & Conditions.
